The Equipment List contains every item in your Project, whether you've adding from the Equipment Page, the Fixture Sheet, or one of the Worksheets.
- Equipment Item and Inventory Item Matching
Equipment Items are items you add to a Project. They are simple: what you type, with the length parsed, and a quantity. All Equipment Items are inside Project Positions, and can be attached to Equipment Cases, Bundles, Looms, etc.
Inventory Items, on the other hand, are items added to an Inventory. They contain all sorts of extra information: weight, dimensions, Fixture Types, whatever has been added.
You should try to match every Equipment Item in your project to an Inventory Item. If you add an Equipment Item that has no matching Inventory Item, you can quickly add the item to your Inventory. If the Equipment Item isn't something that you want in an Inventory, you can flag the item as a Temp item.
When you add an item to your Project, we make an attempt to match the item to your enabled Inventories. If we find a perfect match, the Equipment Item is automatically matched to the Inventory Item. If there isn't a perfect match, you'll have the option of selecting the proper item from a list.
Perfect matches are determined simply by spelling. If the text matches, it's a perfect match. If not, then we start looking for similar matches. If similar Inventory Items are found, you'll be shown list of relevant items sorted by their similarity to your Equipment Item.
- Equipment Item Match Types and Statuses
Unmatched Items
Equipment Items marked with a u are "Unmatched". Ideally no items in your project stay unmatched.
Matched Items
Equipment Items marked with a m are "Matched". They have been matched to inventory items.
Temp Items
Equipment Items marked with a t are "Temp Items". They are items which have no Inventory Item matches, and are also not something you want in your inventory. This status is designed for one of custom items, or things like band equipment or production owned gear, which need to be included in your gear list but shouldn't be added to your inventory.
Add Item
If no likely match can be found in your inventory, you'll see the Add Item option, which quickly adds the item to your inventory.
Quick Match
If similar items can be found in your inventory, you'll see them listed next to the u in a dropdown menu. To quickly match an Equipment Item to an Inventory Item, select the Inventory Item with the dropdown box and click the "Match link"
- Equipment Item Row Details
Each Equipment Item row has several text boxes and options, each available to quickly edit a single item.
Sort Grab
At the start of every row is a

Clicking and holding on the icon lets you drag the row around and resort the item in your equipment list. Both Items and Cases have this drag/sort feature.
Quantity
The quantity for this item. You can enter a whole number or "lot" or "all" for unknown quantities
Name
The name of the item. If the item has been matched, and the Inventory Item is assigned to a category, then category name will also appear here.
Notes
Notes for the item.
Color
You can assign a color to an item, which will appear on certain reports and labels. Use full english color names, separated by "/" (slashes)
Label
The label for the item. It's often a better option to use the Cable Worksheet to add labels to items, as Cable Worksheet items are tied into the Labelmaker system.
Bundle
A note to bundle the item with other items. Generally bundles are used to further break down a Position, like cable for a specific group of lights on the Downstage Truss
Loom
Loomed cables are taped together to create a single bundle of multiple cables. The Cable Worksheet is the main place to deal with cable looming, but you can also add items to looms here. The items will be converted to Cable Worksheet items and you'll need to head to the Cable Worksheet to make any further changes
Status
Here the items matched status is displayed, along with any quick-matching options and the "Add to Inventory" option. See the Matching Section for details.
Options
The options link opens the Item Options window. See the Item Options Window Details section
- Equipment Item Options Window
Each Equipment Item has more option than shown in each row. Clicking the "options..." link on an Item Row will open the Item Options Window.
Items of different statuses will have different options.
- General Options
These Options are shared for every item, regardless of it's status.
Project Position
The item's current Position is shown here, along with an option to change the position.
- Matched Item Options
These items are available for Matched Items
Unmatch
Reset an Item's status back to Unmatched. This will also prevent the item from automatically matching again, giving you the chance to manually match the item.
- Unmatched Item Options
Existing Item Details
Here you can change the basic details of the Item, in case the conversion from text to item missed a detail.
Match to an Inventory Item
Here you can manually match the Equipment Item to an Inventory Item. Every Inventory Item you currently have access to is shown here, unless the Inventory has been Disabled
Clicking on one of the Inventory Items will match your Equipment to that Item. There is a search bar at the top to narrow down your options. Fill out the "search" bar and press enter to search thru the visible items.
Add Equipment To Inventory
This option creates a new Inventory Item in your currently Active Inventory, making a match at the same time.
Make Equipment a Temp Item
Temp items exist to cover Equipment Items that you don't want to add to your inventory, but don't want to leave unmatched.
Equipment you should make Temp include things that you plan to not keep after the Project, or Equipment that isn't yours, like the Lighting Designers Special Chair or custom.
- Equipment Item Bulk Options
With items selected, you'll have additional bulk options appear in a pop up window at the bottom of your screen. These options apply to every selected item.
Please pay attention to the number of items selected. You may have accidently selected hidden rows which will also be affected by the bulk options
Add To Inventory
Create Inventory Items from the selected equipment rows. If a selected equipment row is already matched to an inventory item, that row will be ignored.
Make Items Temp
Make each selected item a Temp item. If any items are already Temp items, they will be ignored.
Unmatch (and don't rematch)
Unmatched the selected items and don't let them automatically rematch. Use this if you need to manually match a group of items
Unmatch (and rematch)
Unmatch the selected items and try to automatically rematch them. This is the best way to switch items from one inventory to another.
Matched items stick to their inventory items even if the Inventory has been disabled. If you need to switch to a new inventory (for example, changing vendors), then disable the unwanted Inventory, enable the desired inventory, and use the "Unmatch (and rematch)" option to rematch to the new Inventory.
Delete
Delete the selected items from your project.
- Equipment List Options
Fast Loading
When a Project gets large enough or the internet speed is too slow, the Equipment List can take a while to load. The Fast Load option starts the Equipment Page with all Positions collapsed and all items hidden.
As you expand Positions, the items are loaded on demand, so you'll only load a fraction of your total project, increasing the loading speed significantly.
Add Aliases when Matching
When manually matching one of your Equipment Items to an Inventory Item, this option will create an Equipment Alias. Any time you enter the same Equipment Item, the Equipment Alias is used to translate your Equipment Item to the Inventory Item.
Equipment Aliases are meant to fix abbrieviations, spelling, and simply different lingo. If you enter "10ft DMX", and your inventory has "5-Pin DMX Jumper", Equipment Aliases can translate for you automatically.
Once created, Equipment Aliases will ignore length. Creating an alias for "10ft DMX" will match "50ft DMX" to the alias. The "DMX" will be translated to "5-Pin DMX Jumper", then the length will be added. If your inventory has "50ft 5-Pin DMX Jumper", a match will be made.
Equipment Aliases are per User, and per Inventory. If one Inventory has "10ft 5-Pin DMX Jumper" and another has "10ft 5pin Data Cable", you can create an Alias for either depending on which Inventory is enabled. When you add an Equipment Item, only the Equipment Aliases for enabled Inventories are checked.
Manage Aliases
View a list of your existing Equipment Aliases, and delete them as needed.
Show Only Unmatched Items
Hide items in your Equipment List that haven't been matched. You'll be able to easily go thru the unmatched Equipment and match to the correct Inventory items.
Hide Position/Case Colors (Hidden behind "More Options")
Positions and Equipment Cases with colors assigned will display those colors in the Equipment List. This option will hide the colors.
Hide Position Names on Items and Cases (Hidden behind "More Options")
Hide the Position Names displayed on each Equipment Item row.
Expand all Positions (Hidden behind "More Options")
Expand every collapsed position and load the items contained.
Collapse all Positions (Hidden behind "More Options")
Collapse every position and hide the items inside. If your browser is running slowely this may help.
Filter Textbox
The Filter text box lets you search thru your equipment list for specific items. Both item name and category are searchable. Only visible items are searchable, if a position is collapsed it's items will not be searched thru.
Select All
The Select All link will select every item in the list
Select Position Items
Each Position block has this option, which selects every item in the position (including items in cases)
Select Position Cases
Each Position block has this option, which selects every Equipment Case in the position (but not the items in the case)
Position Name Textbox
Use the Position Name textbox to quickly change the name of any position
Position Color Textbox
Sets the color for this specific position. The Position Color sets the default color for Equipment Items, Cases, and Fixtures in that position. You can override a position color by setting colors on specific items.
Hide Position
Collapses the Position, hiding the items inside. This helps when your Equipment List gets large enough to bog down your web browser, or to focus on one position at a time.
